Development Assistant

FLSA Status: Hourly, non-exempt, 32 hours/week

Reports to: Development Associate and Development Director

Essential Duties:

  • Prepares and maintains records of donations received via multiple payment platforms. Collaborates with accounting staff and database manager to ensure accurate and timely processing of all gifts. Maintains working knowledge of the functioning and policies of all donation mechanisms and donor database.
  • Handles the organization’s mail. Prepares and records bank deposits and processes credit cards.
  • Maintains accurate donor profiles in DonorPerfect database.
  • Prepares and mails/emails donation receipts and premiums.
  • Organizes and maintains the filing system and oversees volunteers assisting with filing.
  • Coordinates production and mailing of in-house development department correspondence.
  • Processes new and renewal memberships, prepares and ships membership packages.
  • Assists with the preparation of and staffing for development events.
  • Manages administrative tasks including meeting scheduling, ordering and tracking inventory of department supplies, and other administrative duties as needed.
  • Assists visitors with merchandise purchases when merchandising staff or volunteers are not available.

Requirements

  • Demonstrated administrative support experience;
  • Superior attention to detail and organizational skills; excellent interpersonal skills, including the ability to communicate effectively orally and in writing; strong time management skills.
  • Experience and a high degree of proficiency with a variety of software applications and basic office equipment including MS Office Suite and internet applications; ability and enthusiasm for identifying and learning new applications. Familiarity with fundraising databases is a plus but not required;
  • Ability to take initiative, solve problems, assess priorities and manage a variety of projects in a fast-paced environment;
